Replace a general “Thanks for everything” with the action you appreciated: reviewing a document, answering questions, making an introduction or staying late to help. Specificity makes the message feel genuine.
Explain how the person’s time helped. Perhaps their feedback clarified a decision, their introduction led to a useful conversation or their training made you more confident using a tool.
“Thanks for jumping in” may suit a close teammate. “Thank you for taking the time to review our proposal” is more appropriate for a new client or senior leader. Formality should communicate respect without sounding unnatural.
Avoid turning the note immediately into another large request. If a next step is necessary, state it clearly and briefly after the thank-you.
Prompt appreciation usually has more impact because the contribution is still fresh. Send interview and meeting follow-ups within a reasonable period, often the same day or next business day. A late thank-you is still better than ignoring meaningful help.
